Description of Work Unit

TheAssociated Students of Colorado State University (https://ascsu.colostate.edu/) ( ASCSU ) is the student voice on campus. The elected representatives of ASCSU advocate for CSU students on campus and at the local, state, and national levels of government. With a focus on leadership and identity development, belonging and inclusion, community engagement and participation, and financial responsibility and stewardship, ASCSU staff members advocate and support traditions, initiatives, and communities that benefit the student body with hands-on, experiential, and co-curricular learning.

All students have the potential to serve, lead, create change, and advocate on behalf of their peers, as well as be financial stewards of their funds. Students learn through engaging in the leadership process, and the limitless opportunities within ASCSU serve as a venue to practice leadership and hone skills.

The professional staff members working with ASCSU are a part of theOffice of Student Leadership, Involvement & Community Engagement (https://lsc.colostate.edu/slice/) . The SLiCE office offers a broad range of programs and services for Colorado State University students, faculty, staff, and the community in the areas of leadership development, student involvement, service and volunteer programs, and basic needs programs and services. Through the programs at SLiCE, students find both support and resources to graduate as engaged, active participants and leaders in their local, national, and global communities. SLiCE provides support and resources to 500+ registered student organizations ( RSO ).

The mission of theLory Student Center (https://lsc.colostate.edu/) ( LSC ) is to serve as a student-centered organization at the heart of campus, providing programs and services that create an inclusive community and inspire active, engaged learning. As an auxiliary enterprise within the Division of Student Affairs, the LSC is a comprehensive student union recognized nationally as one of the leading university centers. The LSC annual operating budget is approximately $40 million. Nearly 125 full-time career staff and 650 student and hourly staff serve approximately 24,000 people entering the facility on a daily basis and hosts approximately 13,000 annual events and meetings Areas within the Lory Student Center include the CSU Bookstore; Campus Activities; Lory Dining Services; Marketing; Operations; SLiCE; and an extensive array of business and service partners.

The work of the Lory Student Center staff members is guided by and in alignment with CSU’s Principles of Community, the Division of Student Affairs Values, and the Lory Student Center Mission.

Position Summary

This part-time position will provide general office management duties, student staff front office supervision, and coordinate office-wide student staff hiring/HR processes. This position analyzes, organizes, and establishes work processes to ensure the smooth operation and delivery of services, and provides support on special projects.

Some work responsibilities may occur in evenings or on weekends. This information will be shared in a timely fashion.

Required Job Qualifications

  • High School Diploma (or GED ) plus 2 years related experience OR Bachelor’s degree and 1 year related experience

  • Computing skills in Microsoft Office Suite

  • Evidence of strong organizational and planning skills

Duty/Responsibility

  • Work collaboratively with the Lory Student Center IT department to resolve computer / technology issues.

  • Maintain technology (computers, scanners, printers, copiers, monitors, laptops, phones, etc.) inventory and create and maintain replacement schedule.

  • Maintain supply inventory for all materials in ASCSU ; purchase needed supplies to meet office needs.

  • Serve as the main point of contact for Teams voice, including liaising with LSC IT department for setup and usage by ASCSU members.

  • Serve as the main point of contact and ASCSU coordinator for all EACR /surplus requests.

  • Coordinate travel logistics for the ASCSU staff (professional development and/or training), and the ASCSU Travel Grant.

  • Submit participant information to Alumni/Development & Institutional Research department annually.

  • Maintain the ASCSU office environment including space planning, furniture arrangement, equipment procurement, etc. to ensure a comfortable, inclusive, and productive work environment for all employees and customers.

  • Assist with data collection and organization from ASCSU sponsored surveys.

  • Conduct grade checks and good-standing checks on student members each semester.

  • Maintain accurate list of campus-wide committees with student representation.

  • Maintain accurate list of current ASCSU leaders, representatives, and advisers.

  • Work with campus colleagues to schedule meetings between student leaders and staff/faculty.

  • Attend and contribute to the success of the ASCSU department, branch teams. Attend branch meetings along with all office retreats and trainings.

  • Maintain and update appropriate key access to ASCSU suite.

  • Maintain and update ASCSU website.

  • Meet regularly with supervisor to provide updates, monitor performance, seek guidance, and provide feedback.

  • Provide support to the ASCSU Alumni Council ensuring annual invitations to events and contact records remain current.

  • Complete end of year-end reports as requested.

  • Foster collaborative, inclusive partnerships with university offices and departments to provide top quality customer service experience in ASCSU .

  • Participate in search selection processes when needed.

  • Embrace and apply the tenants of a team model with student and career staff to sustain an inclusive and trusting work environment.

  • Serve as a contributing staff member of SLiCE and the Lory Student Center. This includes but is not limited to retreat and workshop facilitation, staff training planning and execution, program attendance, and serving on committees to further support the mission and purpose of SLiCE, the Lory Student Center, and the Division of Student Affairs.

  • Hire, train, and evaluate 5-6 student staff members working a combined 40-50 hours per week annually. Determine and implement effective office policies and procedures including work schedules, duties, deadlines, and guidelines. Make in the moment decisions on staffing adjustments to address workload and staff availability.

  • Provide coordination and oversight of ASCSU student staff hiring process including marketing & outreach efforts, application materials, interview timelines and all email correspondence with applicants.

  • Coordinate work-study application process for all ASCSU student staff hourly employees

  • Host on-going front desk staff meetings to provide updates to policies/procedures, financial information, and foster teamwork and communication.

  • Coordinate student recognition efforts (awards, etc.)

  • Coordinate onboarding of all new student staff employees including procurement of office supplies, technology, key access, email access, required new employee orientations, etc.

  • Process paperwork for all paid employees within the three branches. Submit background checks. Assist with on-boarding new employees. Collaborate with LSC HR Manager to navigate payroll and personnel issues.

  • Collaborate closely with SLiCE Accounting to ensure seamless financial processes.

  • Implement and maintain system for tracking ASCSU customer contacts through the ASCSU front desk.

  • Build employee relations and facilitate conflict resolution.

  • Create and maintain an inclusive and welcoming work environment where all employees multiple and intersecting identities are valued and recognized.
