Description of Work Unit

Sociology is the study of social life. It focuses on the interaction between human groups and societal institutions from social relationships within family units in pre-industrial cultures to those within large, bureaucratic institutions in major industrialized nations. As one of the largest and most diverse departments on campus, we pride ourselves on celebrating our many backgrounds, experiences & different ways of thinking. What binds us together is the desire to make the world a better place by understanding how society works and helping solve problems. We offer three concentrations, General Sociology, Criminology/Criminal Justice and Environmental Sociology. Each provides students with core Sociology theory and research methods. Students choose an area to specialize in, then select complementing courses and projects that result in unique, diverse training. Our Sociology majors are enthusiastic about the community involvement and hands-on experiences we offer through our internships, service learning, courses, student clubs, Study Abroad opportunities, research centers and more. Students graduate with a multitude of transferable skills and unique advantages for a wide array of rewarding career paths. Position Summary

The Academic Coordinator provides a wide range of support to the Associate Department Chair, Director of Undergraduate Studies and the Director of Graduate Studies with the primary areas of focus being support to the positions listed above, academic advising of undergraduate students, support to graduate students and in the development and implementation of special projects at the department level. Additionally, this individual actively develops relationships to collaborate with various campus offices and increase student awareness of and participation in department and CSU services and activities.

Required Job Qualifications

  • Bachelor’s degree in Sociology, Education, or related field.

  • Minimum of one year experience working with students in an academic advising capacity.

  • Minimum of two years experience working as an office or administrative assistant.

  • Strong organizational skills with attention to detail.

  • Strong oral and written communication skills.

  • Strong interpersonal skills and ability to work well with a diverse community of people.

  • Demonstrated experience working in collaboration with students and faculty.

  • Demonstrated experience in Word and Excel software programs.

  • Strong commitment to the Department of Sociology, College of Liberal Arts and CSU’s mission and purpose.

  • Demonstrated ability to independently complete special projects and tasks with little or no oversight.

  • Demonstrated personal and professional commitment to diversity.

Preferred Job Qualifications

  • Familiarity with CSU Sociology course requirements.

  • Knowledge of the CSU processes, programs, and resources.

  • Familiarity with required and elective courses needed to complete the Sociology degree.

Duty/Responsibility

Support the undergraduate program

  • Assist the Director of Undergraduate Studies as needed

  • Direct these aspects of the Undergraduate Program. Tasks including but not limited to:

  • Update faculty and instructor manual each spring

  • Attend and participate in monthly Undergraduate Committee meetings and support the work of the committee

  • Consult with Associate Chair and Director of Undergraduate Education each semester to construct undergraduate schedule

  • Maintain proficiency with Course Leaf Section Scheduler ( CLSS ) in order to enter scheduling requests each semester

  • Correspond with college, university, and faculty around Early Performance Feedback

  • Correspond with students about transfer course equivalency requests

  • Coordinate College of Liberal Arts undergraduate Sociology scholarship committee selection process

  • Invite and evaluate applications for Sociology Undergraduate Representative each semester and Sociology Ambassadors

  • Report and update reports with data pulled from CSU Institutional Research, Planning and Effectiveness, AriesWeb and other sources.

  • Maintain and update each semester course schedule and staffing databases

  • Advise and assist undergraduate students. Tasks including but not limited to:

  • Maintain proficiency with Aries, Canvas, Degree Audit Reporting System ( DARS ), Schedule Course Adjustments, Instructors, and Times ( SCAIT ), etc., re-training when necessary or new systems are needed

  • Assist Sociology undergraduate students with general questions about registration, overrides, etc. and refer to Academic Success Coordinator when appropriate

  • Advise students enrolling or enrolled in the Sociology Methods certificate and minors

  • Support undergraduate program initiatives (in consultation and collaboration with Chair, Associate Chair, Director of Undergraduate Studies, and Communications). Tasks including but not limited to:

  • Continue “vested alumni” outreach including reminding faculty to connect with alumni as well as follow-up, evaluation, and track connections made

  • Assist with creation and provision of department informational materials

  • Maintain and update SCAIT entry of instructor assignments for Residential Instruction (RI) undergraduate courses

  • Coordinate, print, and mail faculty notes to graduating seniors

  • Collect syllabi and office hours for each term from faculty and instructors. Coordinate with the CLA Dean’s Office

  • Manage department textbook orders for faculty and instructors

  • Coordinate undergraduate events (e.g. annual spring alumni panel, Ram Welcome, department graduation ceremony)

  • Coordinate Alpha Kappa Delta Sociology Honors Society ( AKD ) membership invitations and initiation event logistics

  • Serve as point of contact for recruitment activities and coordinate recruitment activities and events (e.g. Choose CSU )

Support the graduate program

  • Assist the Sociology Graduate Coordinator with the Sociology Graduate Program as directed. Tasks including but not limited to:

  • Maintain proficiency in Aries and SLATE

  • Liaison for the graduate program communicating with current and potential students

  • Collaborate with Graduate Coordinator and Assistant to the Chair to plan logistics of graduate student related department events (e.g. Prospective Graduate Student Visit, Graduate Student Symposium, defenses)

  • Review and update Graduate Guide

  • Advise and assist graduate students. Tasks including but not limited to:

  • Establish and maintain all incoming information for graduate applications.

  • Maintain database of key milestones for Masters and Doctorate students

  • Assist graduate students with academic processes and procedures

  • Issue overrides for graduate students for variable credit courses, etc.

  • Maintain databases regarding graduation, job placement, advising loads, comprehensive exam results, graduate student funding, and potential outside committee members

  • Send call for Comprehensive Exams and keep track of who will be taking exams and which ones.

  • Check status of GS6 Program of Study Forms

  • Send reminders about deadlines for Graduate School Forms (including domicile requirements each April)

  • Track Satisfactory Progress Reports

  • Maintain list of temporary advisors (Director of Graduate Studies and Grad Committee will assign)

  • Support graduate program initiatives. Tasks including but not limited to:

  • Liaison with the Graduate School

  • Resolve problems that relate to Graduate School process and procedures.

  • Assist the Director of Graduate Studies and the Graduate Committee with the annual Graduate student selection process in SLATE

  • Maintain and update SCAIT entry of instructor assignments for RI graduate courses.

Tasks including but not limited to:

  • Makes decision within the parameters set by the Associate Chair to carry out goals and objectives.

  • Assist the Associate Chair in their administrative role.

  • Assist the Associate Chair and others with reporting/updating reports with data pulled from CSU Institutional Research, Planning and Effectiveness, AriesWeb and other sources.

  • Ensure incoming graduate students and any new faculty & staff have created Sociology website People page profiles (seek help from Department Communications Coordinator or CLA IT as needed). Monitor People page titles and categories and notify Communications Coordinator as transfers or deletions are needed (e.g. grad students who become Graduate Teaching Instructors or finish & leave).

  • Ensure SharePoint documents related to academic programs and coordination are up to date and accurate.

  • Assist with 6-year program review

  • Assist Program Assistant and Communications Coordinator in coordinating department events

  • Coordinate front office and administrative functions of the department (e.g. greeting visitors, checking out department laptops to instructors, purchasing department inventory, updating department listservs, distributing mail, answering department phone calls and emails, light cleaning, etc.)
